What personal data does NRG Business Networks collect?
We routinely collect for guests and members
- Contact details (names, company name, business category, address, email address, phone number)
- Membership details (start/stop dates, NRG group joined, monies paid)
- Operational details (Events attended, table sat on monies paid)
- Business description (optional)
We collect this data directly from our guests and members when they come to an NRG event and when they join NRG as a member. This data is held securely.
We also collect partial contact details, with their permission, of those we meet at networking events.
What is this personal data used for?
We use members’ data for the
- Administration of Membership
- Communication of information
- Organisation of events.
Where does this data come from?
Data for most of our members comes from them when they join NRG Business Networks.
The information held by NRG Business Networks may be updated by guests and members through a Userid and Password.
Who is your data shared with?
We do not share your information (as above) with anyone outside of NRG Business Networks. Any card details are held by our card processing partner, Sagepay, who holds this securely. We never keep card details.
How is your data stored?
This information is primarily stored in digital form on computers and in the form of written documents stored at NRG’s office.
Who is responsible for ensuring compliance with the relevant laws and regulations?
Under the GDPR (General Data Protection Regulation) we do have a statutory requirement to have a Data Protection Officer. The person who is responsible for ensuring NRG Business Networks discharges its obligations under the GDPR is Martin Davies, Director.
Who has access to your data?
The Directors and employees of NRG Business Networks have access to guests, members and other contacts’ data in order for them to carry out their legitimate tasks for the organisation.
As NRG Business Networks is a networking organisation there is a presumption that Members and Guests, having attended NRG events and joined NRG actively want to share their details with others. Anyone who has attended an NRG event has the opportunity both to create a public profile. They can switch off access if they wish at any time.
What is the legal basis for collecting this data?
NRG Business Networks collects personal data that is necessary for the purposes of its legitimate interests as a membership organisation.
For some data, such as that relating to financial matters, the basis for its collection and retention is to comply with our legal obligations.
How can you check what data we have about you?
You can always see what data we hold on you through the NRG website using a Userid issued to you at time of attending your first NRG event.
You can always contact NRG directly to check out basic membership data we hold about you.
There is not usually a fee for this, though we can charge a reasonable fee based on the administrative cost of providing the information if a request is manifestly unfounded or excessive, or for requests for further copies of the same information.
Does NRG Business Networks collect any “special” data?
The GDPR refers to sensitive personal data as “special categories of personal data”. We do not record any such special data.
Can you ask for data to be removed, limited or corrected?
You can remove, limit or correct your personal data online through the NRG website.
How long we keep your data for, and why?
We normally keep guest and member data after they resign or their membership lapses in case they later wish to re-join.
We will delete any former member, guest or contact details entirely on request.In any communication (electronic) we provide the recipient the opportunity to unsubscribe from our list and cease getting any further communications.
Other data, such as that relating to accounting or personnel matters, is kept for the legally required period.
What happens if a member dies?
NRG Business Networks does not normally keep members’ information after they die other than that kept for the legally required period.
